The two primary characteristics which identify a true state-of-the-art registration management system are: MeetingWare Registration was developed by experienced university continuing education administrators as a completely integrated registration management system. All the major administrative functions required to logically organize and administer programs were included. Using the latest graphical software technology, function selection is a simple matter of “point-and-click.” Let’s take a look at the major functions of the MeetingWare Registration system. PERSON DATABASE The heart of the system is the management of people information. This includes: two-screen person demographics with “special needs” notes, pop-up on-screen mailing label and laser name badge review, individual or batch queue receipt printing which includes the on-screen form filled with the person’s data and transcript of all programs attended with CEU history. MARKETING The mailing list management process includes printing the person’s ID number on their mailing label, using the ID number to access the person’s record, automatically record the program mailing code, manually entering additional mailing codes, and producing mailing labels for any configuration of mailing codes. PROGRAM SETUP Each program has its own record with all necessary data to manage registration options, special event options, tours, etc. This one-time master entry of all options removes the requirement to enter data for each attendee’s registration. Simply select the options and the attendee’s registration record is updated with fees totaled automatically. REGISTRATION FORMATS There are two registration formats included: seminars and conferences and classes and short courses. For institutions offering Independent Study, a third format is also available. Each program file contains all registration options. A click of a mouse button transfers the option into the person’s registration record. REPORTS A myriad of reports are available at the touch of a mouse. Some very important examples include: seminar, conference, and class participant rosters, rolls, confirmation letters, income reports by program and program options, arrival/departure lists, ground transportation schedules, daily or batch deposit reports ready for submission (no more double calculator tapes), registration receipt/confirmation - including on-screen forms with filled-in person data, mailing list master codes, and completion certificates. ACCOUNTING Accounting functions include: registration payments, receivables, invoicing, refunds, transfers, cancellations, overpayments, automatic preparation of deposit reports from registration entry, and credit card processing. FACULTY/SPEAKER CONTRACT MANAGEMENT Merging records from a faculty data file and program data file to produce financial contracts is just a matter of a few mouse clicks, with the entry of the fee and payment date. FACILITY MANAGEMENT Each facility used to host programs has information on rooms available, room capacity and all permanent equipment within the room. The matching of program sessions with proper rooms is made much easier with this system.
